| November 15 | Financial Secretary | Mail out "Third Notices" to any community not submitting their assessments. |
| December 15 | Financial Secretary | Advise Vice President Membership of those communities that have not paid their assessments and cannot be re-chartered. |
| December 15 | Elections Committee Chairman | Mail out requests for communities to nominate persons for officers and members of International Secretariat. |
| January 31 | Vice President Administration | E-mail (and/or) mail out invitations for Spring Secretariat meeting. |
| January 31 | Vice President Membership | Mail out re-charters to communities who have paid their assessments and who are otherwise qualified for continuing membership. |
| April 1 | Elections Committee Chairman | Mail out requests to communities to report ("Annual Survey") on the number of "active members" in their community. The results from this survey will be used for assessment purposes for the following fiscal year (and must be provided to the Financial Secretary by August 1). The results from this same survey will also be used for determining the number of authorized delegates to the Assembly that each community is entitled to have and accordingly the number of votes their community may cast in elections - - for the following fiscal year. |
| April 1 | Elections Committee Chairman | Mail out ballots for the upcoming elections and any By-laws changes being proposed; also, mail delegate credentials forms. |
| May 1 | Assembly Hosting Community | Mail out invitations to the July Assembly. |
| May 15 | All officers and committee chairmen | Submit to the International President, their reports for inclusion in the Annual Report. |
| June 1, 2004 | Executive Vice President | Contact the Patent and Trademark Office to determine the requirements and fees that are in effect at that time for filing a Section 8 affidavit. Otherwise, the registration for the Tres Dias Service Mark will be cancelled on June 1, 2005. Registration was on June 1, 1999. |
| June 1, 2008 | Executive Vice President | Contact the Patent and Trademark Office to determine the requirements and fees that are in effect at that time for filing a Section 8 affidavit and a Section 9 renewal. Otherwise, the registration for the Tres Dias Service Mark will expire on June 1, 2009. Registration was on June 1, 1999. |
| June 15 | Elections Committee Chairman | Should have received all proxy voting ballots for election of officers and members for International Secretariat and any By-laws changes. |
